Donor Relations Coordinator

The Donor Relations Coordinator will provide administrative support to The League’s development & marketing department, and other departments as assigned.  Under the direction of the Director of Development, the The Donor Relations Coordinator will work to contribute to the vitality of the organization by strengthening relationships with donors and volunteers, while promoting the organization’s mission and values to external stakeholders.


Essential Duties and Responsibilities:


Customer Service

  • Provide a high level of customer service as the “front of office” for the development and marketing departments, fielding all general phone and email inquiries. This includes general questions, donations by phone, and other incoming communications that require a timely response.

  • Be the lead staff person to coordinate relationships with all external vendors that support the development & marketing department, which include; printing, department supplies, special event vendors, etc.

  • In collaboration with the VP of Development and President & CEO, coordinate all logistical needs for meetings for volunteer leadership (Board of Directors, Executive Finance Committee, Special Event committees, meetings with donors, etc.) including collecting RSVPs, room and audio-visual set up, compiling and printing meeting documents, recording meeting minutes, refreshments, etc.


Database Management

  • Manage the Donor Perfect database by maintaining all contact information, donor information, merging duplicates, and completing data clean up.

  • Generate Donor Perfect reporting on a weekly, monthly, and as needed basis.  Generate invitation and mailing lists as required.

  • Manage the Constant Contact email database for email communications on behalf of The League. Keep The League’s email database updated on an ongoing basis, and work with other departments to make additions to the email database as needed.


Donor Relations

  • Ensure that all philanthropic gifts are accepted, recorded, acknowledged and reported in a timely and accurate manner.

  • Draft, prepare and distribute general correspondences and customized acknowledgement letters as assigned, including ongoing donor cultivation pieces.

  • Conduct donor research as assigned.


Marketing & Communications Support

  • Manage content and posts on The League’s social media channels including Facebook, Instagram, LinkedIn, as assigned by the Marketing & Communications Manager.

  • Assist with management of the content on The League’s website, as assigned by the Marketing & Communications Manager.


General Administrative Support

  • Keep all development documents and supplies filed, organized and updated.

  • Attend all major development and marketing events, and provide day of event support with logistics and other tasks as assigned.

  • Maintains flexibility and the ability to prioritize in regards to job duties and enhancements to current processes and procedures.


Other Duties and Responsibilities:

  • Assist with coverage for Front Desk Receptionist.

  • Additional responsibilities as assigned.


Educational and Experience:

  • High School Diploma or equivalent required.  College preferred.

  • Past administrative support experience required.

  • Solid Microsoft Office skills and ability to quickly learn and manipulate new software.

  • Excellent communication, customer service skills, time-management, professionalism and attention to detail.
